Gakkensai (in the event of injury to yourself)

The following steps must be taken in the event of an accident (with an injury to yourself) that is covered by Gakkensai:

  1. Report the accident to the insurance company via the accident notification system (in Japanese). This must be done within 30 days of the accident.
  2. Visit the Welfare Division of the Education Promotion and Student Support Department and obtain the documents required for making an insurance claim.
  3. After completing treatment at a medical facility, prepare an insurance claim form and submit it to the Welfare Division, which will then send the claim documents to the insurance company.
Note: If the anticipated or actual amount of compensation exceeds 300,000, a medical certificate is required.
  4. Receive the compensation payment from the insurance company via bank transfer.

Please note:

In order for injuries sustained during extracurricular club activities to be covered by Gakkensai, the activities must be reported to and approved in advance by the Extracurricular Activities Section of the Welfare Division (reference: Extracurricular clubs > University-approved organizations [in Japanese]).

It is also necessary to provide evidence that the claimant was a member of the club at the time of the injury, such as in the form of the member list that each club is responsible for updating and submitting to the Extracurricular Activity Support Section whenever a new member has joined.

Futaibaiseki (in the event of an accident involving injury to another person or damage to property)

The following steps must be taken in the event of an accident covered by Futaibaiseki (involving injury or property damage to another person):

  1. Immediately call the 'School Insurance Corner' of the Tokio Marine & Nichido Fire Insurance Company (phone: 0120-868-066) and provide the following information:
    • Your name, age, and university
    • Date and time of the accident
    • Location of the accident
    • Name and age of the person who suffered the injury or damage
    • Cause of the accident
    • Extent of the injury or damage
  2. As appropriate, proceed with out-of-court settlement negotiations while consulting with the insurance company, which will not participate in the actual negotiations.
Note: Many of the accidents for which compensation is claimed are caused by negligence on the part of the injured party or due to force majeure. It is therefore important that you discuss the accident thoroughly with the insurance company before agreeing to any settlement.
  3. After receiving and completing the insurance company claim documents, have your insurance coverage verified by the Welfare Division and send all the claim documents to the insurance company (via a guardian if you are a minor).
  4. Receive the compensation payment via bank transfer.

Note: International students are in principle required to enroll in Personal Liability Insurance for Students (Gakubai), provided by the University Co-op, and should therefore contact the Co-op Mutual Aid Center (0120-16-9431) in the case of an accident involving injury to another person or damage to property.
