Brief Summary of Application for Exemption/Deferment of Admission Fee

Before applying for Exemption or Deferment of the admission fee, please read this brief summary carefully.

  1. Eligibility Requirements for Applicants
    • Exemption/Deferment of admission fee: Graduate students (excluding international students sent by foreign governments, research students [kenkyusei], auditing students, non-degree students, etc.) who meet any of the following requirements.
      Please direct inquiries about your eligibility to the administration office of your graduate school ("Application Contact").
    (1) Students with excellent academic records who find it difficult to pay the admission fee due to economic reasons
    (2) Students who find it extremely difficult to pay the admission fee because an individual who is chiefly responsible for their academic expenses ("Academic Expense Supporter") has deceased or the students themselves or their Academic Expense Supporter have incurred damages caused by wind, flood, or other disasters within twelve months prior to their admission
    (3) Students who have reason(s) that are recognized by the President as equivalent to those in (2) above

    [ATTENTION] Please note that, due to strict budgetary limitations, fulfillment of the above requirements does not automatically grant exemption from the admission fee.

    * If you apply for exemption of the admission fee, your application for deferment of the admission fee will automatically be filed. You don't have to submit the application form for deferment of the admission fee.
     
  2. Application
    Application forms for Exemption/Deferment of admission fee are issued and received at the Application Contact. Please follow the instructions of the Application Contact and file your application within the designated period.

    4. "Certificate of Registered Items in the Alien Registration describing status of residence" issued by a local government, or "a copy of the Foreign Resident Registration Card," of all household members
    5. Depending on the family situation, etc., some applicants may be requested to submit documents, etc. Please determine your own applicability by referring to the Exemption Guide ("How to Apply for Exemption/Deferment of Admission Fee") for Academic Year 2012-2013 (which will be issued in mid January 2012) and submit all necessary documents.

  3. Precautionary Notes
    (1) If you decide not to matriculate after you have completed admission procedures, you will be required to pay the admission fee immediately.

    (2) Once the application for exemption of admission fee has been accepted, payment of the admission fee will be extended until a decision is made as to whether or not such fee is to be exempted. Until such time, please DO NOT pay the admission fee after you have made the application, as this will render you ineligible for exemption.
    (3) Please note that an application for exemption of admission fee cannot be withdrawn after it has been filed.
  4. Timing and Notification of Decision on Exemption/Deferment
    (1) Timing
    Students who have enrolled in April will be notified of the decision in late May, and those who have enrolled in October will be notified of the same in late November.
    (2) Method
    Decisions on exemption/non-exemption will be notified via the bulletin board. Please visit the Application Contact for confirmation. A notice on the decision will be issued at that time.
  5. Payment of Admission Fee
    If your application has been declined, you will receive a fund transfer request form. Please use the form to send the admission fee to the account designated by the University by the date indicated on the form (within fourteen days of the day on which the decision was made). If a Deferment has been granted, please pay the admission fee by August 31, 2012 (for those enrolled in April), or February 28, 2013 (for those enrolled in October).
    The University's account may be found on the fund transfer request form.
    Failure to make the payment by the deadline will lead to loss of student status.
  6. Others
    Please direct any inquiries to the Application Contact by the deadline if you are unsure as to what documents are needed and/or how to fill in the application form.

[Handling of personal information]

  1. All personal information will be handled in accordance with the Act on the Protection of Personal Information held by Independent Administrative Agencies, etc. and the Regulations on the Protection of Personal Information at Kyoto University.
  2. The applicant's name, address, and any other personal information will be used exclusively for the screening process for Exemption / Deferment of Admission Fee.
  3. Such personal information will also be used to compile statistical data to deliberate on how the exemption system may be improved in the future. Such data will be compiled in such a way that specific individuals cannot be identified.
  4. Kyoto University may outsource the job of converting the data supplied on the form into electronic format to an outside service by concluding an agreement on the proper handling of personal information.
