Leave of Absence, Readmission, and Withdrawal

If students wish to do any of above, they should consult with their academic advisor or international student advisor first, then conduct procedures at their faculty/graduate school offices.

Request for Temporary Leave of Absence

Those who take more than three months leave from the university for sickness or injury must submit a request to faculty/graduate school offices.A medical certificate must be attached in the case of sick leave.To extend the period of absence, students must submit an extension request before the original period expires.

If a student takes a leave of absence from the beginning of a semester, the tuition for the semester is not charged.Full semester tuition must be paid when a student takes a leave in the middle of a semester.When a student returns in the middle of a semester, tuition for the earlier month(s) of the semester are exempted.

(Notice)

  • When international students take a long term leave of absence from the university, unless there are special reasons to stay in Japan (hospitalized in Japan, etc), they are expected to go back to their home countries.
  • If international students do not go back to their home countries while taking temporary leave of absence from the university, they will face problems later when they apply for extension of residence status in Japan or change of residence status in Japan.
  • It is prohibited to work part-time while taking temporary leave of absence from the university.

Readmission Request (Readmission Form)

Readmission after leave due to sickness requires submission of a Kyoto University Readmission Health Certificate (verified by a health care provider) along with a Kyoto University Readmission Request to one's faculty/graduate school administration office.

If student wishes to return to the university after taking absence for reasons other than sickness before the leave of absence expires, they must submit a Readmission Report. If they do not, they will be considered to have taken a leave of absence for the entire period requested.

It is possible for international students to come back to Japan for readmission after taking a leave of absence if the students have valid status of residence in Japan. Check the term of validity for status of residence before leaving Japan if the student intends to be readmitted.

Withdrawal Request

Students must submit a withdrawal request and get it approved before quitting. Without it, they will be considered to still be registered, and will be charged tuition, etc.
